Working an item

Assignees, stage moves, tasks, notes, documents and the journey so far.

01The item dialog

Opening an item from any view gives you the whole record in one place: who it is assigned to, the company it belongs to, its progress, time logged, documents, notes, the journey it has travelled, the answers that started it, its run history — and the move to the next stage at the foot.

02Assignees

A flow decides whether items carry an assignee at all, and whether more than one person can hold the same item. Starting a timer on an item you are not on assigns it to you, so the person doing the work is the person named.

03Moving it along

Move to next stage at the foot of the dialog moves the item; on the board, dragging the card does the same thing. Moving an item is what the actions and controls between those stages are waiting for, so the run picks up from the move.

04Tasks and progress

When the flow tracks progress by tasks, the Tasks section shows the current stage’s checklist and the bar follows the ticks. When it tracks manually, ± steppers move it in ten-percent steps. By stage needs no input at all.

05Documents and notes

Files attached to an item — an applicant’s upload, a generated contract — list under Documents as flow-only references. They open from the item and only from the item; the media library shows they exist but will not open them. Notes are the running commentary on the item, and a flow can turn them off if they are noise for that kind of work.
